Summary
Team Supervision & Operations Management
- Supervise teams of ~6 mail production staff during assigned shifts
- Manage end-to-end mail processing operations, ensuring all tax forms are handled accurately and meet strict deadlines
- Oversee large-scale mailings (60,000+ forms) while maintaining quality standards
- Execute special projects including small-batch mailings, custom packaging, and envelope processing
- Work hands-on with production team to maintain optimal workflow and meet daily targets
- Monitor and respond promptly to all Mail Service communications via Slack and Email
Quality Assurance & Compliance
- Ensure security protocols and safety guidelines across all operations
- Ensure 100% accuracy in form processing and USPS compliance
- Conduct regular quality checks throughout the production process
- Maintain detailed documentation and reporting for all processed mailings
- Oversee proper handling of sensitive tax documents and maintain confidentiality
Vendor & Partner Relations
- Coordinate with external vendors to ensure timely material delivery
- Collaborate with operational partners to resolve issues and optimize processes
- Serve as point of contact for vendor escalations during your shift
Training & Development
- Onboard and train new team members on production processes
- Provide ongoing coaching to improve team performance and efficiency
Technical Requirements
Print Production Systems
- Configure and troubleshoot platforms,
- Operate Ricoh Pro 8000 series digital production printers
- Diagnose and resolve basic print production issues independently
- Manage paper inventory and coordinate with multiple paper types per mailing
Software & Data Processing
- Process mail files using USPS presort and mailing tools
- Use tracking/scanning systems to update job status throughout production workflow

- Experience in print production, mail services, or manufacturing supervision
- Proven ability to lead teams in deadline-driven environments
- Strong problem-solving skills with a hands-on approach
- Excellent communication skills for team coordination and vendor relations
- Detail-oriented with commitment to quality and accuracy
- Comfortable working in a seasonal, high-pressure environment
